For WP Wizards websites, services, and The Hub

This Privacy Policy explains how WP Wizards LLC (“WP Wizards,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit wpwizards.com or related pages, communicate with us, purchase or receive our services, or use The Hub at hub.wpwizards.com. It also describes the choices and rights available to you.

This policy applies to information WP Wizards handles for its own business purposes. When a client uses The Hub or our services to provide us with information about that client’s customers, leads, employees, or other individuals, WP Wizards generally processes that information on the client’s behalf and under the client’s instructions. The client remains responsible for its own privacy notices, permissions, and lawful use of that information.

1. Information we collect

We collect the following categories of information, depending on how you interact with us:

Please do not provide Social Security numbers, full payment-card details, medical records, protected health information, or other highly sensitive data unless WP Wizards has expressly authorized that collection in a separate written agreement and appropriate safeguards are in place. The Hub is not offered as a HIPAA-compliant service unless WP Wizards signs a separate applicable agreement, including a business associate agreement when legally required.

2. Google user data

When you or a client administrator chooses to connect a Google account to The Hub, we may access Google user data through Google APIs such as Google Ads, Google Analytics, Google Search Console, Google Business Profile, Google Tag Manager, and Google Workspace (as applicable). The data we receive is limited to the scopes you authorize at the time of connection.

Examples of Google user data we may access include:

• Account identifiers, account names, and linked properties or profiles.
• Campaign, ad group, keyword, ad, conversion action, and performance metrics from Google Ads.
• Search query, impression, click, position, and property performance data from Google Search Console.
• Website traffic, event, conversion, and audience data from Google Analytics.
• Business listing information, reviews, posts, and location data from Google Business Profile.
• Container, tag, trigger, and variable information from Google Tag Manager.

We use Google user data only to:

• Provide, operate, and improve the services you have requested, including reporting, optimization, measurement, and attribution.
• Produce insights, recommendations, diagnostics, and strategy outputs for the client that authorized the connection.
• Maintain security, troubleshoot issues, and create audit records of access and changes.
• Comply with applicable law and enforce our agreements.

We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine-learning models unrelated to delivering your services. We do not sell Google user data. We do not share Google user data with unaffiliated third parties except as described in Section 5 of this policy.

3. How we use information

We use the information we collect to:

• Provide, operate, maintain, personalize, and improve our websites, services, and The Hub.
• Create and administer accounts; manage permissions, client assignments, integrations, support, projects, approvals, reports, and service delivery.
• Analyze website, search, advertising, lead, customer-journey, conversion, and revenue performance; produce recommendations, diagnostics, reports, and attribution outputs.
• Process transactions, send invoices, administer contracts, and maintain business and tax records.
• Communicate about projects, accounts, security, service changes, support, events, and—where permitted—marketing. You may unsubscribe from marketing emails at any time.
• Authenticate users, prevent fraud and abuse, troubleshoot, protect systems and data, enforce agreements, and maintain audit trails.
• Comply with law, respond to lawful requests, establish or defend legal claims, and protect the rights and safety of WP Wizards, clients, users, and others.
• Create aggregated or deidentified information that does not reasonably identify an individual and use it for analytics, benchmarking, service improvement, and business planning.

4. Legal bases for processing

Where a law requires a legal basis, we rely on one or more of the following: performance of a contract; our legitimate interests in providing, securing, improving, and marketing our services; compliance with legal obligations; and consent. You may withdraw consent where consent is the basis, but withdrawal does not affect earlier lawful processing.

5. Cookies, analytics, and advertising

We and our providers may use cookies, pixels, local storage, and similar technologies for essential operation, preferences, analytics, security, and advertising measurement. Depending on your location, you may be able to manage nonessential technologies through a cookie banner or browser controls. Blocking some technologies may affect functionality. We honor legally required opt-out preference signals, such as a supported universal opt-out mechanism, where applicable.

6. How we disclose information

We may disclose personal information to the following recipients for the purposes described in this policy:

• Service providers and subprocessors that host data, provide cloud infrastructure, analytics, communications, customer support, payment processing, accounting, security, project management, website management, or automated analysis.
• Connected platforms such as advertising, analytics, search, ecommerce, CRM, hosting, social media, and other platforms that a client or authorized user connects to our services.
• Client organizations and their authorized users, including administrators who control account access and can view activity associated with that organization.
• Professional advisers, auditors, insurers, financing sources, and transaction counterparties subject to appropriate confidentiality obligations.
• Government authorities, courts, or other parties when required by law or reasonably necessary to protect rights, safety, systems, users, or the public.
• A buyer, successor, or other participant in a merger, financing, reorganization, sale of assets, or similar corporate transaction.

We do not sell personal information for money. Some analytics or advertising disclosures may be treated as “sale,” “sharing,” or targeted advertising under certain privacy laws. Where applicable, you may opt out using our cookie controls or by contacting us.

7. Client data and connected services

Clients decide what systems to connect, what information to provide, which users may access their account, and how client data will be used. WP Wizards processes client data to provide contracted services, follow documented client instructions, maintain security, comply with law, and prevent abuse. A client may request additional data-processing terms where appropriate.

Connected services are governed by their own terms and privacy policies. When you authorize a connection, we may receive and transmit data as necessary to operate it. Removing a connection may stop new data collection but may not delete information already retained for legitimate business, security, legal, backup, or contractual purposes.

8. Automated analysis and artificial intelligence

We may use automated tools, including artificial intelligence, to classify, summarize, analyze, or recommend actions based on data in The Hub and our services. We use access controls and provider settings designed to limit processing to authorized purposes. Automated outputs can be incomplete or inaccurate and are reviewed or used as decision support where appropriate. We do not use automated processing to make decisions that produce legal or similarly significant effects about consumers unless separately disclosed and permitted by law.

9. Data retention

We retain information for as long as reasonably necessary to provide services, maintain accounts and integrations, satisfy contractual commitments, resolve disputes, enforce agreements, preserve security and audit history, and meet legal, accounting, and tax obligations. Typical retention periods include:

• Active account data: retained while the account is active and for a reasonable period after closure.
• Client project and performance data: retained according to the applicable service agreement, typically 12 months or longer where needed for reporting, comparisons, or legal holds.
• Billing and tax records: retained for the period required by applicable law, typically 7 years.
• Security logs and audit data: retained for a period necessary for security, fraud prevention, and compliance, typically up to 12 months.
• Marketing and communications data: retained until you unsubscribe or request deletion, subject to applicable legal exceptions.

When information is no longer needed, we delete, deidentify, or securely dispose of it, subject to backups and legal holds. Clients may have separate retention duties for client data.

10. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including role-based access controls, multi-factor authentication, encryption in transit and at rest where appropriate, logging, monitoring, and vendor security controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for protecting credentials, using authorized accounts, and promptly reporting suspected unauthorized access.

11. International transfers

WP Wizards and its providers may process information in the United States and other countries. Where required, we use recognized safeguards for cross-border transfers, such as contractual protections or adequacy mechanisms.

12. Your privacy choices and rights

Depending on where you live and subject to legal exceptions, you may have rights to:

• Request access to, correction of, or deletion of your personal information.
• Request a portable copy of your personal information.
• Opt out of targeted advertising, sale, sharing, or certain profiling.
• Restrict or object to processing.
• Withdraw consent where processing is based on consent.
• Appeal a denied request.

You may also opt out of marketing emails through the unsubscribe link in any marketing message.

To make a request, email info@wpwizards.com with “Privacy Request” in the subject line. Describe your request and the relationship through which WP Wizards received your information. We may verify your identity and authority before responding. You may use an authorized agent where permitted by law. We will not discriminate against you for exercising a privacy right.

If your information was submitted to us by a WP Wizards client, we may direct you to that client because it controls the information.

13. Children

Our websites, services, and The Hub are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.

14. Third-party websites and services

Our websites and services may link to or integrate with third-party services. WP Wizards does not control their privacy practices. Review their notices before providing information or enabling a connection.

15. Changes to this policy

We may update this policy to reflect changes in our services, practices, or legal obligations. We will post the updated version on this page and revise the effective date. If changes are material, we may provide additional notice where required, such as by email or through The Hub.
